ERP Modules

Every Module Indian Schools Actually Need

Eight modules, fully integrated. No add-on charges. No "Fee module ₹X extra" surprises.

Students & Attendance

Profiles with photo, RTE flag, caste, religion, guardian numbers. Daily class attendance + session-wide register + monthly view.

Three-Tier Exam System

Exam (Half-Yearly / Annual), Class Test, Unit Test — each independently configurable with grade and division criteria.

Fee Collection

Class- & session-wise structure, Cash / Cheque / DD / Online entry, A4 + 58 mm / 80 mm thermal print.

Transportation

Routes → stations → per-station fees per session. Student route assignment and route-wise revenue reporting.

Staff & Payslip

Staff records, daily attendance with Half-Day / Leave, monthly payslip with HRA, PF and other deductions.

Accounting Cash Book

Own accounts (Cash / Bank), party accounts, voucher entries. Receipts and payslips post automatically.

Guardian Module

Sibling mapping — one guardian record linked to multiple students for unified fee statements and absence alerts.

Role-Based Permissions

Per-employee, per-module flags (add / edit / view) so the fee clerk only sees fees and the class teacher only sees attendance.

School ERP FAQ

Common Questions about School ERP Software

Apna School is a full school ERP system built specifically for Indian schools, not a marketing-CRM. Once a student is admitted, every operational module — student records, daily attendance, three-tier exam management (Exam, Class Test, Unit Test), fee collection with thermal-printer receipts, transportation, staff and monthly payslips, accounting cash book and the guardian directory — runs from a single cloud dashboard. We also ship the CRM-style pieces Indian schools actually use day-to-day: admission record capture (admission number, RTE flag, caste category, religion, photo, guardian numbers), bulk Excel student import, and utility WhatsApp / SMS communication. What we deliberately don’t do is pre-admission lead-pipeline tracking — for that, pair Apna School with a free CRM. Read the full breakdown in our school ERP vs school CRM guide.

Apna School is a cloud-based school ERP software — cloud only. The school logs in from any browser or the Android app; we run the servers, backups, security patches and feature updates. There is no school server to buy, no IT engineer to hire, no power-cut continuity risk. Multi-tenant cloud architecture means every school’s data is fully isolated per school, and the application enforces HTTPS, CSRF tokens, parameterised SQL, rate-limited login, one-way password hashing and per-employee role permissions. For a deeper dive read cloud-based school management software; the cloud-vs-on-premise comparison is also covered in our how to choose school ERP guide.

Yes — every module is unlocked from Day 1 on every plan. START (₹4,999/year for up to 250 students), SMART (₹8,999/year for up to 500), SUPER (₹14,999/year for up to 800) and PREMIUM (₹24,999/year for up to 1,500) all include the same eight modules: Students & Attendance, Three-Tier Exam System, Fee Collection, Transportation, Staff & Payslip, Accounting Cash Book, Guardian Directory and Role-Based Permissions. Plans differ only by capacity — student count, free WhatsApp + SMS bundle, training days and support tier (Standard / WhatsApp / WhatsApp + Phone / Priority + Dedicated Account Manager). There is no “Fee module ₹X extra” pricing. See the full grid on the pricing page.

Yes — multi-academic-session support is built into the core. Each session (2025–26, 2026–27, 2027–28…) is a first-class data scope. Class enrolments, fee structure, due-dates, late-fee rules, transport route and station assignments, exam configuration, attendance register and fee receipts are all session-scoped. When you roll forward to the new session every April, last year’s data is preserved — no data loss, no copy-paste. This is essential for NEP 2020 Holistic Progress Card continuity (where you compare a child’s growth across two or three years), for UDISE+ submissions that ask for previous-year figures, and for parent queries about historical fee receipts or marksheets. Multi-session is one of the genuine differentiators of a real school ERP versus an Excel-based workflow.

Apna School is built around the operational realities of Indian schools, not retro-fitted from a US / UK product. Concrete differences: RTE flag, caste category and religion as first-class fields on the student record (essential for UDISE+ and government audits); UDISE code & affiliation number on the school profile, printed on every receipt and marksheet; sibling guardian mapping so one parent with two children gets a single fee statement and a single absence alert per family; 58 mm / 80 mm thermal-printer fee receipts that work on the printer your accountant already owns; Hindi-friendly fields for student / subject names so receipts and marksheets render correctly for Hindi-speaking parents; three-tier exam structure matching the formal-exam + monthly class-test + lesson-level unit-test pattern Indian schools actually run; RBSE / CBSE / ICSE / state-board agnostic via configurable grade and division criteria; multi-academic-session isolation for class promotion every April. None of these come standard in a generic global ERP.

For a typical 300–800 student Indian school, the rollout fits comfortably inside two weeks. Day 0–1 covers school profile, classes (Nursery to 12th), sections (A/B/C/D), subjects, fee heads, due-dates, per-day late fee, grade table and division criteria. Day 2–3 is the bulk Excel import of existing students — admission number, name, DOB, class, guardian numbers all come in at once; photos and unique IDs auto-generate. Day 4–5 covers staff records (designation, qualification, salary structure with HRA + Other Allowance) and the holiday calendar (National / State / School / Religious). By the start of week two the school can already collect fees on the thermal printer, mark daily attendance, issue payslips and print marksheets. Onboarding sessions in Hindi and English are bundled with every plan; PREMIUM-tier schools also get up to 3 days of live or on-site training.

Yes — the ERP is fully board-agnostic. Classes, sections, subjects, exam structure, grade table (A1/A2/B1/B2… or any custom variant) and division criteria (First / Second / Pass / Fail) are all configurable per school. The same product runs for CBSE schools, ICSE schools, RBSE (Rajasthan), UP Board, MP Board, Bihar Board and other state boards without any code change. Subject-wise practical + written split is supported (useful for ICSE), as is Hindi-script subject naming (useful for state-board schools). For CBSE-specific features (HPC roadmap, UDISE+ alignment, RTE compliance), see CBSE school management software.

Yes — a 30-day free trial with every module unlocked and no credit / debit card required. You evaluate the full product (fees, attendance, exams, staff, accounting, transport, guardian) before paying anything. After the trial, paid plans start at ₹4,999/year (START). All paid subscriptions also carry a 30-day money-back guarantee — if the software doesn’t work for your school within 30 days of payment, raise a refund request and we’ll process it. Beyond 30 days, you can cancel future renewal anytime, and your data is retained for 30 days post-cancellation so you can export it. Full details on the refund policy page.
