About Apna School ERP

School management software (also called a school ERP or school CRM) is a single application that automates a school's daily operations — student records and attendance, exams and marksheets, fee collection, transportation, staff and payslips, accounting and parent / guardian communication. Apna School covers all of these from one cloud dashboard.

Apna School yearly subscriptions start at ₹4,999 (START) and go up to ₹24,999 (PREMIUM). All plans include every software feature — only capacity (students, free messages, training and support tier) changes between plans. GST is charged extra. See the pricing page for the full plan grid.

Apna School offers a 30-day free trial — no credit card, every module unlocked. After the trial, the smallest paid plan (START, ₹4,999/year) fits schools up to 250 students. We're upfront about being a paid product — the trial gives you long enough to be sure it works for your school.

Yes. The software is board-agnostic. Classes (Nursery to 12th), sections (A/B/C/D), subjects, exam structure, grade system and division criteria are all configurable, so the same product works for CBSE, ICSE and state board schools without any code change.

Yes. The school can send absent-day notifications automatically to the registered guardian mobile number, and the Android app gives parents read access to their child's attendance, fee status and exam results.

Yes. The Students module includes an Excel bulk import — useful when onboarding or rolling forward to a new academic session. Photos and unique student IDs are generated as part of the import.

Yes. Each session (e.g. 2025-26, 2026-27) is a first-class entity. Class enrolments, fee structure, transport assignments, exams, attendance and receipts are all scoped per session, so historical data is preserved when you roll forward.

Onboarding is fast — once classes, sections, subjects and the fee structure are set up, you can start admitting students and collecting fees the same day. Existing student records can be bulk-imported from Excel.

Software Features

Three independent modules: Exam (full exams like Half-Yearly / Annual with subject-wise marks), Class Test (monthly tests per class), and Unit Test (subject- and lesson-level mini tests). Each module has its own marks entry, grade criteria, division (pass/fail) criteria, marksheet (two formats), and admit cards.

Yes, an Android app is shipped alongside the web panel and is included in every subscription plan. There is also a QR-scan attendance kiosk login for staff who only mark attendance.

Yes. Each school has a configurable thermal print width (58 mm or 80 mm) and the receipt page renders accordingly. Standard A4 print is also supported. Receipts can be edited or cancelled (with reason) before close.

The fee collection page records payment by Cash, Cheque, DD or Online. Each receipt can carry a discount and a fine, and produces a net amount that posts automatically into the accounting cash book under Cash in Hand or Bank.

Yes. Each staff member has Basic + HRA + Other Allowance configured. Daily attendance (Present / Absent / Half-Day / Leave) feeds into the monthly payslip generator, which produces gross, deductions (PF / other) and net salary, and posts an entry into accounting.

Data Security & Privacy

The application enforces a strict Content-Security-Policy (CSP) on every page, CSRF tokens on every form, parameterised SQL queries throughout, rate-limited login per mobile + IP per day, and a per-page role-based gate that runs before any data is read or written. Data is hosted on cloud servers over HTTPS.

Yes. The school owner has full access. For each staff employee, the admin grants:

  • Single-flag access to Exam, Class Test, Unit Test.
  • Three flags (add / edit / view) for Students, Fees, Transportation, Guardian, Staff, Accounting and Settings.
  • An Attendance Only flag that lets a user sign in to the QR-scan kiosk and nothing else.

Yes. The system is multi-tenant — every record (students, classes, fees, exams, accounting, etc.) is isolated per school, and every query is automatically restricted to that school's data. One school's users can never see another school's data.

Yearly subscriptions in four tiers — START (₹4,999/year, up to 250 students), SMART (₹8,999/year, up to 500 students), SUPER (₹14,999/year, up to 800 students) and PREMIUM (₹24,999/year, up to 1,500 students). Every plan includes every software feature; only capacity, free WhatsApp + SMS bundle, training days and support tier change between plans. GST is charged extra. Subscription payments are processed via PayU. UPI, debit / credit card and net-banking are all supported through the same gateway.

Yes. The school has a wallet that can be topped up. SMS and WhatsApp message-sends draw from the wallet, and every credit / debit transaction is recorded with a UTR for audit.

Yes. Our team helps with the initial setup — classes, sections, subjects, fee structure and class-subject mapping — and provides walkthrough sessions for the school admin and key staff so day-to-day use can begin immediately.

From the login page, click Forgot Password. An OTP is sent to your registered mobile number; once verified, you can set a new password. Wrong-attempt counts are tracked per mobile + IP per day to protect against brute force.
