Admissions, Guardian and Communication — Inside One ERP

What 90% of Indian schools actually use day-to-day from the “school CRM” category.

Admission Record Capture

Admission number, admission date, RTE flag, caste category, religion, photograph, guardian numbers — first-class fields.

Bulk Excel Import

Bring an existing admissions sheet into the system on Day 1. Photos and unique IDs auto-generated.

Guardian Directory + Siblings

One guardian linked to multiple students. Fee statements and absence alerts go per family, not per child.

Utility SMS & WhatsApp

Fee reminders, attendance alerts, exam-result delivery, PTM invitations — with a free bundle in every plan.

Mobile-Number Login + OTP

Mobile + password + captcha for staff; OTP-based forgot-password. Per-employee role permissions for admissions counsellors.

Multi-Academic-Session

Next year’s admissions don’t overwrite this year’s data. 2025–26 and 2026–27 live side by side.

We don’t do two-way parent-teacher chat — on purpose

Schools that have rolled out two-way chat tend to drown teachers in non-school messages at 11 PM. We deliberately don’t ship it. If full marketing-CRM lead tracking is critical, pair Apna School with a Google Form / CRM-lite for enquiries; once admission is confirmed, run an Excel bulk-import.

FAQ

School CRM Software FAQ

Apna School is a school ERP software at its core, with the CRM-style modules every Indian school needs in daily operations — admissions intake, guardian directory with sibling mapping, parent communication, daily attendance alerts, and fee-due reminders. What it deliberately is not is a pre-admission lead-pipeline CRM (no “visitor walked in but didn’t admit” tracking). For schools that want both, the right combination is a free CRM (HubSpot Free, Bigin) for pre-admission leads + Apna School ERP for everything after admission. The full breakdown is in our school ERP vs school CRM guide.

No — Apna School is built for post-admission school management. Pre-admission lead capture, follow-up calls, and prospect-stage tracking are handled better by free CRMs (Google Forms + WhatsApp, HubSpot Free CRM, Zoho Bigin). The hand-off is clean: when a prospect is admitted, you bulk-import the row from the CRM into Apna School via the Excel student import — admission number, name, DOB, class, guardian numbers, RTE flag, caste category and religion all come in at once. From that moment, the student is fully tracked inside Apna School for fees, attendance, exams, transport and parent communication.

Yes — through the Apna School Android parent app and through absent-day WhatsApp + SMS alerts. Parents get read access to their child’s daily attendance, fee due / paid status, exam marks (where the school chooses to publish), and academic notices. The app uses the guardian phone number for OTP login — no separate password to remember. There is intentionally no open two-way chat between parents and teachers; the school controls outbound communication. This decision protects teacher time (no after-hours messaging pressure), reduces parent-side spam, and aligns with how Indian schools actually want parent communication to work. Read more in our parent-teacher communication guide.

No — every module is unlocked on every plan. The guardian directory, sibling mapping, parent app login, absent-day alerts and bulk WhatsApp / SMS broadcasting are all included from the START plan (₹4,999/year for up to 250 students) onwards. What scales with the plan is the free message bundle: START includes a starter wallet of WhatsApp + SMS credits, SMART / SUPER / PREMIUM include progressively larger wallets. Once the bundle runs out, additional credits are at fair pay-as-you-use rates. There’s no “guardian module ₹X extra” or “parent app ₹Y extra” pricing — full details on the pricing page.

Yes — sibling guardian mapping is one of the most-used features for Indian schools. When a parent has two or three children in the same school (Class 3, Class 6 and Class 9, for example), Apna School maps them to a single guardian record. The benefits compound: one consolidated fee statement that shows all three children, sibling-discount fee structures applied cleanly, one absent-day alert per family per day instead of three duplicate messages, and a single WhatsApp broadcast reach instead of three. For the parent it feels coherent; for the office it eliminates the “which one of these three Sharma families is which” confusion that paper registers create.

Yes — bulk WhatsApp + SMS broadcasting is built in. Filter recipients by class, section, RTE flag, transport route, fee-due status or any combination, then broadcast a notice (PTM, holiday, fee reminder, exam schedule, urgent closure). Messages go through an in-app communication wallet at fair pay-as-you-use rates after the free bundle is consumed. WhatsApp is preferred (higher open rate, free at the parent end, multimedia support); SMS is a reliable fallback when a guardian number doesn’t have WhatsApp. The broadcast is logged with delivery status, so the office can audit which families received which message. More on this pattern in our WhatsApp school software guide.

Yes — data security is implemented at multiple layers. Every request runs over HTTPS; CSRF tokens protect form submissions; SQL queries are parameterised against injection; login is rate-limited against brute-force; passwords are stored as one-way hashes (never plain text). The application enforces per-employee role permissions (a fee clerk cannot see staff salaries; a class teacher cannot view fee receipts of other classes). At the storage layer, multi-tenant cloud isolation per school ensures one school’s data is never visible to another. Backups run daily with off-site storage. For Indian schools storing RTE / caste / Aadhaar-adjacent fields, this is the security floor you want.

Yes — Apna School consolidates the channels Indian schools already use: WhatsApp (broadcast notices, fee reminders, absent-day alerts, exam schedules), SMS (delivery-guaranteed fallback), the Android parent app (read-only fee + attendance + marks status), and printed letters / circulars (PDF-export from the dashboard for parent collection). What we deliberately don’t do is email broadcasts (low open-rate among Indian school parents, especially in Tier-2 / Tier-3 cities) or two-way teacher-parent chat (creates after-hours pressure). The channel mix matches how Indian schools actually communicate in 2026.
